Position: Shared Services Coordinator 
Role Status: New (Future Role) 
Department: Shared Services 
Reporting to: Director, People and Culture
Location: Remote within Canada 
Position Type: Full-Time, Permanent 
Salary Range: $50,000–$60,000 CAD per year, plus eligibility for company bonus and benefits 
Hours: Monday – Friday, 9AM – 5PM (in your time zone, flexible hours)

SUMMARY  

The Shared Services Coordinator is the heartbeat of our support team and a go‑to resource for employees across the organization. From welcoming new hires to keeping both people and financial processes running smoothly, this role plays an essential part in creating a seamless experience behind the scenes. You’ll support recruitment, onboarding, benefits, payroll coordination, and the everyday moments that shape our culture, while also ensuring financial accuracy through vendor payment processing, monthly bank reconciliations, and by creating and maintaining employee, vendor, and client records within our financial platform.

ACCOUNTABILITIES  

People Operations (80%)
  • Talent Operations 
  • Support full-cycle recruitment coordination, including posting roles, reviewing resumes, scheduling interviews, and preparing interview materials. 
  • Communicate with candidates throughout the recruitment process to ensure a smooth and timely experience. 
  • Onboarding Operations
  • Own end-to-end onboarding coordination: preparing new hire documentation, managing logistics and communications, and helping new team members feel welcomed and set up for success from day one. 
  • People Data & Records Management 
  • Serve as the day-to-day owner of People & Culture systems, including the HRIS and performance management platform, supporting accurate data management and smooth system operations. 
  • Maintain accurate and up-to-date employee records, including changes and confidential documentation. 
  • Assist with preparing reports, spreadsheets, and materials related to People & Culture programs. 
  • Compensation & Benefits Coordination 
  • Collect and process employee changes (e.g., compensation, status, banking, and personal info updates) and ensure they’re reflected accurately for payroll. 
  • Assist with documentation and support required for benefits-related updates and inquiries. 
  • Employee Experience & Internal Support 
  • Provide timely support and responses to employees seeking information or assistance regarding People & Culture processes or documentation. 
  • Support engagement and culture initiatives as directed. 
 
Finance & Operational Support (20%)
  • Financial Operations 
  • Set up and process vendor payments. 
  • Perform monthly bank reconciliations to ensure the accuracy and completeness of financial records. 
  • Sage Intacct Records Management 
  • Create and maintain employee records within Sage Intacct. 
  • Create and manage vendor profiles within Sage Intacct. 
  • Create and maintain client records within Sage Intacct. 
  • Shared Services Operational Support 
  • Provide administrative and operational support across Shared Services functions as needed to ensure smooth internal workflows. 
 
WE'RE LOOKING FOR

  • Experience in administrative or coordination roles, with confidence managing a variety of responsibilities with accuracy and consistency. 
  • Hands-on experience using an HRIS or People system (any platform), with a solid understanding of how HRIS tools support employee data, navigating processes, report generation, and learning new tools as needed. 
  • Strong attention to detail and the ability to keep records and documentation organized, complete, and reliable. 
  • Clear, professional, and warm communication skills when interacting with candidates, employees, vendors, and colleagues. 
  • Solid organizational skills, including the ability to balance multiple tasks, shifting priorities, and consistent follow-through. 
  • A curious, proactive approach to work, with a willingness to ask questions and learn new processes. 
  • Adaptability and ease moving between different types of tasks in a fast-paced environment. 
  • Motivation to learn, take on new challenges, and continue growing over time.
